🚨 14 new M365 updates reviewed for you from last week

Last week, Microsoft dropped just 14 new updates in the Microsoft Message Center (week ending Sunday 07 June 2026).

Microsoft Teams: Improved request flow for users seeking access to admin-blocked apps and agents

Users requesting blocked Teams apps or agents will now see a clearer guided flow with status notifications, and admins will get a simplified review and approval experience in Teams Admin Center including bulk approval. Admins can optionally enable Teams channel notifications for new requests. Existing app and agent policies are unchanged.

OneDrive: Enforced lifecycle stages introduced for unlicensed OneDrive accounts from early July 2026

Unlicensed OneDrive accounts will face enforced retention stages: read-only at day 60, archived at day 93 (content unavailable but eDiscovery accessible), and permanently deleted after 12 cumulative months without licensing or billing. Applies by default from early July 2026. Admins must audit unlicensed accounts now and take action or reassign licences, enable pay-as-you-go billing, migrate content, or confirm data can be deleted. Note that permanent deletion can occur even where retention policies or legal holds are configured unless licensing is restored.

SharePoint Online: File-level archiving reaches general availability in Microsoft 365 Archive

Risk: Medium | User Impact: Medium | Admin Impact: Medium

File-level archiving in Microsoft 365 Archive moves from preview to GA, enabling users with edit permissions to archive individual SharePoint files to cold storage via a new Archive action on the web. Enabled by default for all sites in tenants where M365 Archive is active. Archived files require up to 24 hours to reactivate unless archived within the past 7 days. Billing uses the existing pay-as-you-go model. Admins who want to limit availability should scope via PowerShell before rollout. Helpdesk and records management teams should be briefed on the Archive action and reactivation behaviour.

Microsoft 365 Copilot: Copilot settings now accessible directly from the File menu in classic Outlook for Windows

Licensed Copilot users in classic Outlook for Windows can now access and toggle Copilot on or off directly from the File menu. No change to licensing, eligibility, or admin controls. Helpdesk teams should be aware users can now self-manage Copilot from within Outlook.

Microsoft Teams: Town hall chat message limit increases from 200 to 500 characters

Microsoft 365 Apps: Current Channel update released (2 June 2026)

SharePoint in Teams: Search now scoped to SharePoint content when searching from within the SharePoint app

Users searching from within the SharePoint app in Teams (Viva Connections) will now see SharePoint-scoped results and suggestions rather than Teams-wide search results. Existing SharePoint permissions and search security trimming apply. Enabled by default with no admin configuration needed. Helpdesk teams should be aware the search behaviour is changing for Viva Connections users.

Microsoft Teams: Room availability now shown in real time during event creation in the Events app

Microsoft Teams Rooms: Update required to maintain PowerPoint Live functionality before 30 June 2026

Teams Rooms devices running outdated app versions will lose PowerPoint Live functionality including synchronised media playback and real-time inking after 30 June 2026. Windows devices must be updated to version 5.6.135 (available now). Android devices require version 1449/1.0.96.2026124903 (available mid-June). All updates must be completed before 30 June. IT teams should audit device versions and prioritise updates across all meeting rooms immediately.

Microsoft Teams: Breakout rooms now supported in meetings with up to 1,000 attendees

Breakout rooms can now be used in Teams meetings with up to 1,000 attendees, up from the previous 300-attendee limit. Up to 200 rooms per meeting. Enabled by default. No change to the breakout room experience for smaller meetings.

SharePoint Online: Pay-as-you-go billing now available for SharePoint storage overages

Admins can now enable consumption-based billing for SharePoint storage that exceeds the included tenant quota, paying only for what is used rather than pre-purchasing additional capacity. Opt-in and off by default. The existing Extra File Storage add-on remains available. Requires an Azure subscription and appropriate billing permissions. Finance and procurement teams should be informed if usage-based charges affect cost management processes. Not available to education tenants.

Microsoft 365 Copilot: Suggested edits now available in Copilot Pages to improve writing quality

Microsoft Teams: Enhanced desk booking experience coming to Teams panel-based desk devices
